Executive Assistant

Manage the complete production process of our podcast and media content from planning and recording to editing and publishing to help grow our reach and impact.

About The Role

We’re looking for someone who gets genuine satisfaction from making things run smoothly.

As our Executive Assistant, you’ll work closely with the founders, helping us keep on top of a growing business and making sure important things don’t disappear amongst the ideas, meetings, projects and day-to-day demands.

This isn’t a role where you’ll spend your day simply managing a diary or waiting to be given a list of jobs.

We’d like you to gradually become the person who knows what’s happening, what needs following up and what we’ve probably forgotten!

You’ll help protect the founders’ time, keep things organised and make it easier for the wider team, our clients and the people we work with to get what they need.

You don’t need to arrive knowing how to do everything on this page.

We’re much more interested in finding someone who is organised, trustworthy, curious and willing to learn. We’ll invest in helping the right person develop into the role.

Key Responsibilities

Diary & Scheduling

• Organise meetings, workshops and consultancy sessions
• Manage diaries and help protect time for what matters
• Arrange travel and accommodation when needed
• Prepare agendas and notes ahead of meetings
• Manage correspondence and flag anything needing a response

Project Follow-Through

• Maintain simple project and action trackers
• Follow up outstanding actions
• Give friendly nudges when something risks being forgotten

Operations & Admin

• Keep documents and digital files organised
• Produce professional documents and presentations
• Support the CRM and coordinate proposals and contracts
• Suggest better ways of doing things as you learn the business

People & Communication

• Be a warm, professional point of contact for clients, guests and suppliers
• Protect the founders’ time, including saying “not right now” when needed
